Feature guides

How to use each feature

Short how-tos for everything in GBPNinja.

Open Reviews to see every review from all your locations, newest first. Use the tabs to show reviews that need a reply, need a follow-up, or are already replied.

  • Click a review and write a reply, or pick a reply template (the best match for the star rating is shown first).
  • Reviews of 3 stars or less create a follow-up task automatically, so nothing slips through.
  • The chart shows reviews by month compared with last year; switch to Daily for a day-by-day view.

In Reviews → Request a review, choose a template, check the subject and message, and send. With Gmail connected the email goes out from your own address; otherwise you can copy the link or open it in your email or text app.

Edit your templates in Settings → Templates. Merge fields like {{name}}, {{business}} and {{link}} are filled in for each customer.

Click New post, choose the channels (Google, Facebook, Instagram, LinkedIn), write your text and add photos. The preview on the right shows how the post will look on each network.

  • Publish now or schedule it; scheduled posts appear on the Content calendar.
  • Drag a post to another day to reschedule it.
  • Deleting a post in GBPNinja also removes it from Facebook, Google and LinkedIn. Instagram posts must be deleted in the Instagram app.
  • Posts you made directly on Google show up on the calendar too, marked as imported.

Performance shows interactions, website clicks, calls, direction requests and profile views from Google, compared with the previous period, plus the searches people used to find you.

Pick a date range at the top, or choose All locations to see them together. Google’s numbers usually arrive a few days late, so the last few days may look low at first.

Profile audit gives your profile a score out of 100 and a checklist sorted by impact. Each item explains what’s missing and how many points it’s worth.

  • Open a tab (About, Contact, Hours, More, Services, Photos) to edit those details right in GBPNinja; changes are saved to Google.
  • Click Add task on any item to assign it to a teammate.
  • A few things can only be changed on Google itself, such as the service area and hiding your address; GBPNinja tells you when.

On Competitors, compare your rating and reviews with nearby businesses in your category. Add up to 10 competitors by pasting their Google Maps link.

GBPNinja checks added competitors every day and shows review growth over time, plus the categories they use that you don’t (add them to your profile in one click).

After connecting Search Console, Ranking shows your average position, clicks, impressions and click-through rate for every search your website appears in. Click a search to see its trend, pages and devices.

Tasks keeps follow-ups and fixes in one place. Create tasks with an owner, due date, priority and subtasks, and view them as a list, a board or a calendar.

Troubleshooting

Common issues and fixes

Make sure you sign in with the Google account that owns or manages the profile. You can check at business.google.com. If someone else owns it, ask them to add you as a manager first.

Google only shares data for verified profiles. Finish verification at business.google.com, then come back; GBPNinja shows a notice until it can read the profile.

Instagram must be a business or creator account linked to a Facebook Page you manage. Link it in the Instagram app (Settings → Account type and tools), then reconnect Instagram in GBPNinja.

Open the post from the calendar to see which network failed and why, then fix it and click retry. Common causes are an expired connection (reconnect in Settings → Accounts) or a photo the network doesn’t accept.

LinkedIn access lasts about 60 days. Go to Settings → Accounts and click Reconnect next to LinkedIn.

Check that Gmail is connected in Settings → Email. Gmail limits how many emails you can send per day; if you hit the limit, try again the next day.

Google reports performance and Search Console data with a delay of a few days. The numbers fill in automatically.

Disconnect any account in Settings → Accounts. To delete your account and data, email support@gbpninja.com from your account’s address. See our Privacy Policy for details.
